University Libraries, ETC, IDeATe, and Sustainability Initiative (UEIS) make up the portfolio of units reporting to Helen and Henry Posner, Jr. Dean of the University Libraries and Director of Emerging and Integrative Media Initiatives Keith Webster. With complementary missions to advance knowledge and foster innovation in the pursuit of a more equitable future for all, there are more similarities than differences between these disparate units. This position will provide support for events within the UEIS portfolio, with a special focus on the Entertainment Technology Center (ETC) and University Libraries.

The Carnegie Mellon University Libraries is the destination for scholarly information, creative inquiry, and intellectual collaboration across disciplines, propelling the significance, reach and impact of the university. The Entertainment Technology Center (ETC) is the premiere professional graduate program for interactive entertainment as it's applied across various fields, offering a unique, two-year Master of Entertainment Technology (MET) degree that was founded as a joint venture between Carnegie Mellon University's School of Computer Science and the College of Fine Arts.

The Events Manager, Outreach and Engagement will be responsible for partnering with Libraries and ETC faculty and staff who are organizing and providing virtual, in-person and hybrid events at the Libraries and ETC geared primarily toward the audience of CMU students, staff and faculty - contributing promotional expertise, administrative skills and operational support. Reporting to the Associate Dean of External Relations, University Libraries, this is a wide-ranging role that will be tasked with fostering important relationships that advance the missions of both units while overseeing and effectively managing multiple time-sensitive priorities.

Core responsibilities include:

  • Collaborates closely with all levels of Libraries and ETC faculty and staff on the design, planning and execution of ETC and Libraries events including coordination of vendors, liaising with partners from across the university, recruiting and cultivating faculty and staff volunteers, and brainstorming ways in which to further the respective units' missions in the context of event programming. Key events in which this position plays a primary or supporting role include ETC Open House, ETC commencement, Constitution Day, the Libraries' workshop series and themed research engagement events, Three Minute Thesis (3MT) and orientation activities for both units, among others.
  • Works with key stakeholders to develop long-range plans for an efficient and effective ETC and Libraries outreach strategy - developing detailed plans and overseeing implementation of the goals.
  • Establishes campus relationships to connect a diverse community of constituents across CMU, The Libraries and ETC.
  • Assists with data collection and assessment of events for continual improvement of offerings, applying a wide range of qualitative and/or quantitative methods for the assessment and improvement of the events program.
  • Serves as the key External Relations partner for library faculty when it comes to campus event management, promotion, and outreach
  • Partners with Libraries External Relations and University Communications and Marketing division on print and digital promotional materials.
  • Maintains a budget for events and is responsible for determining the appropriate food, decor, entertainment and similar event features which will produce the desired event within budget. Is responsible for initiating all administrative procedures necessary for events.
  • Ensures that events are planned so that scheduling conflicts do not occur.
  • Act as External Relations liaison to the Libraries' Student Advisory Council.
  • Possesses an up-to-date and comprehensive knowledge of events trends.
  • Manage and track inventory of event supplies.
  • Involvement in service to the broader university community through committee work and collaborative innovation.

Qualifications:

  • Bachelor's degree
  • 3- 5 years' experience in event planning or communications

Preferred Qualifications:

  • Experience in an academic unit or research library.
  • Experience with cultivating partnerships to provide support.
  • Proven success related to innovative planning, programming, and community development.
  • Successful track record of leading projects in a multi-stakeholder environment as an innovative and inspirational change agent.
  • Demonstrated project management experience.
  • An understanding of the preferred platforms and information dissemination methods used by a student-age audience
