The Opportunity

We are seeking an Attorney Development Assistant (entry-level) to join our firm. This position will be based in our Palo Alto office (hybrid). The Attorney Development Assistant provides support to the overall Attorney Development, Attorney Learning, and Associate Engagement functions in the Palo Alto office.

Attorney Development:

  • Provides administrative support including, but not limited to, logistical arrangements for meetings, maintaining calendars, and distribution of department mail. Prepares correspondence, documents, reports and spreadsheets.
  • Maintains department files, central index of attorney personnel files, records, calendars and assists with Workday actions as needed.
  • Processes invoices, check requests, and expense reports by confirming the accuracy of the reports and ensuring that supporting documentation is attached prior to forwarding the documents for signature.
  • Assists with conference room logistics including room set-up, food and beverage arrangements, etc.
  • Assists with the arrival and transfer process for all attorneys, including orientation schedules, providing office tours, and processing moving expenses.
  • Assists with the departure process for attorneys, including coordinating with other departments as needed.
  • Assists with attorney parental leave procedures and other leave procedures as needed.
  • Assists with the administrative process for attorney evaluations.
  • Assists with various aspects of event planning: collaborate with colleagues to plan attorney events; onboarding of new associates.

Attorney Learning:

  • Assists with logistics for attorney training programs, including invitations, tracking RSVPs and follow up efforts, creating and distributing sign-in sheets and materials, creating name badges, and coordinating with Conference Services as needed.
  • Attends and assists with aspects of attorney development/engagement events, training, and diversity and inclusions programs as needed.
  • Assists with CA CLE compliance tracking as needed
  • Assists with preparation and maintenance of continuing legal education (CLE) applications and files, including the maintenance of Sdocs training files
  • Assists with attorney bar admission process, annual bar renewals, and related reporting
  • Provides assistance with other related projects as assigned.

Associate Engagement:

  • Provides administrative support in organizing and implementing all engagement related initiatives including Mentor Programs, social and community building events, surveys and new associate/lateral integration and onboarding
  • Supports the AD Manager and Coordinator in implementing and overseeing all PAL mentor programs, tracking budgets and mentor assignments/changes and issuing reports as needed
  • Supports Coordinator in keeping the Mentor Program Handbook and relevant local Slate mentoring/hub pages updated, ensuring quality control of the links and related information on the website
  • Supports Coordinator with programming and initiatives that foster community including the MLK Day of Service Project, regularly scheduled internal and external attorney get-togethers, and integration events for incoming associate classes and lateral associates; marketing, registration/RSVP tracking, catering arrangements and day-of logistics; maintaining records, including files and spreadsheets with program details
  • Processing check requests and invoices for various expenses
  • Generating and managing correspondence and responding to informational requests
  • Facilitating internal meetings (including scheduling, hosting Webex meetings, booking conference rooms, posting announcements on the intranet, managing in-office visitors and tracking RSVPs)

Other Functions:

  • Serves as a resource to attorneys in the Palo Alto office.
  • Serves as a liaison to respond to various departmental questions or requests.
  • Actively participates in team meetings and shares recommendations for improvement.
  • Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with colleagues.
  • Coordinates and supports overall department needs with special projects, which may include team collaboration on overlapping projects and priorities, and as assigned.
  • Manages Firm resources responsibly.
  • Complies with and understands Firm operation, policies and procedures.
  • Performs other related duties as assigned.

Qualifications:

  • Knowledge of relevant firm computer software programs (e.g., Outlook, Excel, PowerPoint; Workday and CE Manager a plus), with the ability to learn new software and operating systems
  • Proficiency with Excel, Word, and PowerPoint software
  • Working knowledge of office equipment, such as printers, scanners or landline telephones
  • Ability to work independently
  • Ability to handle sensitive matters and maintain confidentiality
  • Demonstrates close attention to detail
  • Ability to meet deadlines
  • Ability to handle multiple projects and shifting priorities (strong organizational and time management skills)
  • Ability to organize and prioritize work
  • Ability to work well in a demanding and fast-paced environment
  • Ability to work well independently as well as effectively within a team
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs

Education and Experience:

  • Bachelor's Degree or equivalent combination or education and experience
  • Minimum of one year related human resources, event coordination, or law firm experience are a plus

The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.

Salary Details

$60,000 - $65,000
