Lateral Partner Recruiting & Integration Assistant

Cooley is seeking a Lateral Partner Recruiting & Integration Assistant to join the Lateral Partner Hiring team.

Position summary: The Lateral Partner Recruiting & Integration Assistant will provide administrative support to the lateral partner recruiting and integration team firmwide. Specific duties and responsibilities include, but are not limited to, the following:

Position responsibilities:

Recruiting:

  • Maintenance of the LawCruit database to include data entry of all lateral partner candidate biographical information, entering interview schedules, updating candidate status, preparing reports and tracking all recruiting-related expenses
  • Maintain candidate files in Worksite and OneNote
  • Assist with the preparation of weekly agendas to department leadership and others, as requested
  • Assist with scheduling candidate interviews, tracking evaluation responses and following up for evaluation feedback
  • Assist with greeting candidates and monitoring interviews
  • Assist with tracking candidate due diligence including coordination with the business intake & conflicts department, library, and background screening vendor, as necessary
  • Assist with creating and maintaining candidate target lists for strategic priorities
  • Assemble meeting itineraries for distribution to candidates; distribution of interview schedules and candidate biographical information to attorneys, as necessary
  • Assist with lateral partner onboarding, organize and prepare pre-hire paperwork, maintain orientation checklists, communicate with new hires and liaise with other administrative departments as necessary
  • Assist with lateral partner integration and prepare status reports as necessary
  • Ensure partner search firm agreements are current; prepare agreements for new vendors, create Worksite folders and maintain updated files in the LawCruit database and entry into Salesforce
  • Assist with coordinating travel arrangements for lateral partner candidates, including air, train, hotel and town car reservations, adhering to the firm's travel policy
  • Assist with ad hoc lateral projects as needed
  • All other duties as assigned

Administrative:

  • Provide administrative support to the lateral partner recruiting team firmwide, including, but not limited to email and calendar management; travel coordination; expense report preparation, coding, and reconciliation; and drafting and processing correspondence
  • Answer phones, copying, filing, scanning and other administrative duties
  • Maintain Worksite Files
  • Reserve conference rooms, make restaurant reservations and coordinate catering, as needed
  • Process check requests and vendor invoices as necessary
  • Develop and/or update various administrative forms and create and maintain files
  • All other duties as assigned

Skills and experience:

Required:

  • Available to work overtime, as required
  • Proficiency in the Microsoft Office suite, iManage and other firm applications to include LawCruit database

Preferred:

  • Bachelor's Degree
  • Prior administrative experience in a professional work environment

The expected hourly pay range for this position is $26.50 - $35.50/hour. Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
